Matter/Project Budget

Purpose & Benefit: You can contain costs while focusing on strategic roles to transform the budget into an investment through a good budgeting tool. Budgeting also means you can make a risk assessment for individual Matters/Projects.

In matter/project budget, users can view and set hours, fees, expenses and invoices, and can limit them from exceeding.

Users can also set budgets at a granular level for specific Staff, Task Codes, Expense Codes, Tasks, and Task Assignment by Staff.

  • Click on Clients & Matters under the Clients tab.

 

  • Click on the Matter.

 

  • Click on the Budget tab.

 

  • To enter a new budget, click on the enter the relevant budget amounts under Budgeted column button.

 

  • Click on the Prevent Exceeding checkbox if you wish to cap these amounts.

 

  • Click Update when you are done.

 

  • You can now view the Budgeted amounts against the Actual amount, and the Remaining difference in the two amounts. A green progress bar will show if you are within budget limits, otherwise the progress bar will turn red if you have exceeded the budget plan.

 

  • To edit an existing budget, fill in the relevant budgets under Budgeted column and click on Update.

 

  • To download the budget plan, please click on the Export to Excel button which will download the budget in an Excel file for you.

 

  • Please see an example below of an exported budget.

 

  • To set up a budget for a specific staff member/professional/timekeeper, please click on the Staff Member/Professionals tab.

 

  • Click on Enter Budget.

 

  • Specify the Staff Member/Professional/Timekeeper you wish to create a budget for from drop-down list of Timekeeper options.

 

  • Specify budget amounts for this Staff Member/Professional/Timekeeper for their Hours, Fees, and Expenses. Check the Prevent Exceeding checkbox if you wish to cap these amounts. Click Save when you are done.

 

  • Please note: if you exceed a budget you will see the figure amount in red. Please see an example below of an exceeded budget. 

 

  • You an also Edit a Budget by clicking on the Edit link.

 

  • You can also Delete a Budget by clicking on the Delete link.

 

  • To create a budget for specific Task Codes, click on Task Code tab.

 

  • Click on Enter Budget.

 

  • Specify the Task Code from the drop down list options that you wish to create a budget for.

 

  • Specify budget amounts for this Task Code for Hours and Fees. Check the Prevent Exceeding checkbox if you wish to cap these amounts. Click Save when you are done.

 

  • To create a budget for specific expense codes, please click on Expense Codes tab. 

 

  • Click on Enter Budget.

 

  • Specify the Expense Code you wish to create a budget for.

 

  • Enter in the expense budget amount. Select the Prevent Exceeding checkbox if you wish to cap this amount. Click Save when you are done.

 

  • To create a Plan Task budget, click on the tab.

 

  • Click on Enter Budget.

 

  • Specify the Plan Task.

 

  • Specify budget amounts for this Task/Activity for Hours, Fees, and Expenses. Check the Prevent Exceeding checkbox if you wish to cap these amounts. Click Save when you are done.

 

  • If you wish to create budgets for Timekeepers for specific Plan Tasks, click on Staff Member/Plan Task tab.

 

  • Click on Enter Budget.

 

  • Specify the Staff Member/Professional/Timekeeper.

 

  • Specify the Plan Task.

 

  • Specify budget amounts for this New Task Assignment by Staff Member Budget for Hours, Fees, and Expenses. Check the Prevent Exceeding checkbox if you wish to cap these amounts. Click Save when you are done.
