LEDES Invoices

Purpose & Benefit: For attorneys, having a basic knowledge of LEDES is important, and what is even more important is having legal billing software that effortlessly incorporates the LEDES format.  The American Bar Association defines categories for legal time and expenses by UTBMS codes. These codes are required for creating electronic invoices in the LEDES format. This format requires a Task Code and an Activity Code.

In the below example, the user has chosen to show the UTBMS codes for time and expense entries, Statement of Account, and Remittance Section. The user has also chosen to use all options of the Time and Expense Details, and included a Remittance Section with user-defined payment instructions:

TimeSolv Legal generates invoices in LEDES 1998B, LEDES 1998BI V2, and LEDES 2000 format. Since LEDES is a standard format, certain items have to be setup correctly to meet the invoicing requirements.

1. Tax ID Setup (required)

  • Select Settings under Account tab.

 

  • Under the General tab, enter in the Tax ID. Click Save.

 

 

2. LEDES Timekeeper ID and LEDES Classification (required)

  • Select Staff/Professionals under Account tab.

 

  • Click on staff member name (example below).

 

  • Ensure that the LEDES Staff Member/Professional ID must be identical to the ID used in the site you upload to.

Note: Most systems use first initial and last name, e.g. Greg Berger will be GBERGER, all in capital letters.

 

  • In addition, select the correct LEDES Classification below the LEDES Staff Member/Professional ID (these fields are available only for firm having TimeSolv legal service plan).

 

 

3. Task and Activity Codes (required)

  • Select Settings under Time tab.

 

  • Click on Task Codes tab.

 

  • Ensure that any new task codes will be accepted by the site you are uploading to. They should be ABA compliant formatted codes.

 

  • Click on Sub-Task Code tab for activity codes.

 

4. Timekeeper Hourly Rate (required)

Ensure that the timekeeper hourly rate in TimeSolv matches the hourly rate in the invoice submission system.

  • The Timekeeper hourly rate would be set under the Account>Staff/Professionals tab.

 

  • Click on Timekeeper name (example below).

 

  • Specify the Timekeeper hourly rate in the Default Rate field.

 

5. Bill Delivery Method (required)

If the vast majority of your clients need LEDES invoices then please follow the steps below:

  • Select Settings under Clients tab.

 

  • Select Invoice Settings tab.

 

  • Select Email and LEDES under Default Invoice Delivery Methods.

 

If all matters under a client need invoices to be sent out as LEDES, follow the steps below:

  • Select Clients & Matters/Projects under Clients tab.

 

  • Click on [client name] (example below).

 

  • Select Invoice Settings tab.

 

  • Select Email and LEDES under Default Invoice Delivery Methods.

 

  • Select Clients & Matters/Projects under Clients tab. Click on [matter/project name] (example below).

 

  • Select Invoice Settings tab.

 

  • Select Email and LEDES under Default Invoice Delivery Methods.

6. Delivery Email Address (not required)

Note: We recommend users go under Invoices>Sent and download the invoice in LEDES format.​

  • Enter your own email address if you have to manually submit LEDES invoices. You will receive the LEDES invoice in your email. Download it to your computer and do not change the file type. Upload this file to the invoice submission system.
  • If the emails will be automatically delivered to an email address, enter the email address of the receiving invoice submission system.

 

7. Client LEDES ID  (not required for all)

  • Select Clients & Matters/Projects under Clients tab.

 

  • Click on [matter name] (example below).

 

  • Click on Invoice Settings tab.

 

  • Next to the Email checkbox, select the relevant LEDES format. A Settings button will appear. Click on Settings to view a pop up window where you can set Client LEDES ID.

 

8. Client-Matter ID (required)

  • This is the unique identifier for the matter/project, and must match between TimeSolv and invoice submission system. Select Clients & Matters/Projects under Clients tab.

Note: The unique identifier number is found in the invoice submission system you are using.

 

  •  Click on [matter/project name] (example below).

 

  • Click on Invoice Settings tab.

 

  • Next to the Email checkbox, select the relevant LEDES format. A Settings button will appear. Click on Settings to view a pop up window where you can set Client ID and Matter ID.
