Flexible Billing Template

Purpose & Benefit: The flexible billing template feature allows you to specify exactly what information appears on the invoices you generate. Invoices can include as much or as little detail as you wish, and company letterhead and logos can easily be incorporated. The ability to customize your invoices as little or as much as you’d like is one thing. Our billing templates also allow you to assign different templates to different matters for the same client.

To create or edit flexible billing templates:

  • Select the Settings link under the Invoices tab.

 

  • Select Flexible Templates tab.

 

  • Select New Flexible Template (or click Copy next to an existing flexible billing template if you only wish to change one or a few of its settings by editing the copied template).

 

  • Name your new template.

 

  • You can activate or deactivate templates as you wish.

 

  • Provide a brief Description for the template.

 

Global Settings

  • Under Global Settings tab, you can specify which of the following information you want to appear on the invoices you generate:

Balance due is for Included Matter(s)/Project(s) Only
Include Matter ID in Matter/Project Names
Display Currency
– (please note the currency will not appear until you have gone under Clients & Matters>[client name]>General and specified the currency symbol in the ‘Currency‘ field).
Include Total Balance Due on Cover Page and Main Invoice
Combine Entries for Multiple Matters/Projects (Applies to consolidated invoices)

  • You can select to view the Font Size as either Small (9 pt), Medium (10 pt), or Large (11 pt) on your invoices. By default this will be set to small font.

 

  • You can choose to justify the description text (the text you entered in the description field on the Time Entry screen). By default this will be set to justified.

 

  • Below is an example of an invoice with LARGE font and JUSTIFIED description text:

 

  • Under the Footer heading, you can specify which of the following information you want to appear on the invoices you generate:

  • Click Update.

 

Cover Page

Below is an example of a Cover Page with custom text entered:

  • Under the Cover Page tab, you can specify which of the following information you want to appear on the cover pages you generate:

Include Cover Page
– Logo
– Logo Position on the Page
Include Firm Address
– Include Firm Name in Address
Include Client Address
– Include Client Name in Address
– Include Client Contact Name in Address
Include Responsible Staff Member
– Label for Responsible Staff Member (i.e. Client Name)

  • Click Save.

  • You will have to scroll a little to find the Tax options available for appearing on your invoices:
    Tax ID
    ARN

 

  • Click Save.

 

Time

Below is a sample of Time & Expense details shown on an invoice. In this example, custom text has been entered:

 

 

  • Under the Time tab, you can specify which of the following information you want to appear on the invoices generate:

– Professional Staff Member Identifier (i.e. Name Only, Name Plus Title, Initials Only, Initial Plus Title)
– Number of Decimals for Hours (by default it is set to ‘2’, but you can change this to 3 decimals).
– Include Time Detail (Option to view as List or Grouped by Task Code)
– Section Title (i.e. Time Details)

Split Billing

  • Under the Split Billing tab, you can which of the following information you want to appear on the invoices generate:

  • Click Save.

 

  • This example shows an invoice that has been split 50/50 between two clients. TimeSolv allows users to split invoices for as many clients as needed and customize the percentage each client pays for the invoice:

Statement of Account Page

  • Under the Statement of Account Page tab, you can specify which of the following information you want to appear on the invoices generate:

Include Statement of Account Page
– Compute Balance Due (either ‘as of the current date’ or ‘as of the current invoice)
Summary
– Include Matter/Project Summer (Automatically Displayed for Trust Replenishment)
– Include Matters/Projects with Zero Balance
– Include Open Invoices and Credits
Matter/Project Details
– Include Transactions
– Include All Transactions in Current Transactions List
– Include Open Invoices and Credits
– Include Zero Balance Invoices and Credits

 

  • Click Save.

Remittance Page

  • Under the Remittance Page tab, you can specify which of the following information you want to appear on the remittance pages you generate:
  • Include Remittance Page
    – Include Remittance Page if Zero Balance Due
    – Include Firm Address
    – Include Client Name in Address
    – Include Client Contact Name in Address
    – Include Current Invoice Only (Total Due may not match Statement of Account)
    – Include Matter Summary (Automatically Displayed for Trust Replenishment)

  • Click Save.
